JobIntaker (“JobIntaker,” “we,” “us,” or “our”) operates jobintaker.com (the “Service”). This Privacy Policy explains what information we collect, how we use it, and the choices you have.

By using JobIntaker, you agree to the collection and use of information in accordance with this policy.

2. Information We Collect

Information you give us directly

  • Account information: name, email address, password (stored encrypted), phone number, portfolio/LinkedIn URLs
  • Career profile data: career headline, professional summary, skills, work experience, projects, languages, certifications
  • Job application data: job titles, job descriptions, company names, and notes you enter into Application Studio
  • Payment information: if you subscribe to JobIntaker Pro, payment is processed by our payment provider (Square). We do not store your full card number on our servers.
  • Communications: messages you send us for support

Information collected automatically

  • Usage data: pages visited, features used, AI Assist usage counts
  • Device/browser data: IP address, browser type, device information (standard web server logs)
  • Cookies: used to keep you logged in and remember basic preferences

Information from third-party sign-in

If you register or log in using LinkedIn or Facebook, we receive your name, email address, and profile photo from that provider. We do not receive or import your LinkedIn work history, connections, or any other profile data — third-party login is used only to verify your identity and speed up sign-up.

3. How We Use Your Information

We use your information to:

  • Create and manage your account
  • Generate your Master Resume and AI-tailored resume versions for specific job applications
  • Provide AI-powered suggestions (skills, summary/experience wording, match analysis) via OpenAI’s API
  • Generate downloadable PDF resumes and cover letters
  • Process subscription payments and manage your billing status
  • Send transactional emails (welcome, password reset, subscription status, trial reminders)
  • Respond to support requests
  • Improve and maintain the Service, and monitor for misuse

We do not sell your personal information.

4. How AI Processing Works

When you use AI-powered features (resume tailoring, AI Assist, skill suggestions, match analysis), the relevant text you provide (e.g. your resume content and job description) is sent to OpenAI via their API to generate a response. This data is used to generate your output and is subject to OpenAI’s API data usage policies, under which API data is not used to train OpenAI’s models by default.

5. Where Your Data Is Stored

  • Resume PDFs and files: stored via Cloudflare R2 (object storage)
  • Account and profile data: stored in our WordPress database
  • Email delivery: sent via Gmail/Google Workspace SMTP

We take reasonable technical and organizational measures to protect your data, but no method of transmission or storage is 100% secure.

6. Sharing Your Information

We share information only with service providers who help us operate JobIntaker, including:

  • OpenAI — AI text generation (resume tailoring, suggestions, analysis)
  • Cloudflare — file storage and content delivery
  • Square — payment processing
  • Google — email delivery (SMTP)
  • LinkedIn / Facebook — only if you choose to sign in with these providers

We do not share your career profile or job application content with employers, recruiters, or any other third party without your explicit action (e.g., you choosing to download and send your own resume).

We may disclose information if required by law, or to protect the rights, property, or safety of JobIntaker, our users, or others.

7. Your Rights and Choices

Depending on your location, you may have the right to:

  • Access the personal information we hold about you
  • Correct inaccurate information
  • Request deletion of your account and associated data
  • Export your data
  • Object to or restrict certain processing
  • Withdraw consent where processing is based on consent

To exercise these rights, contact us at [email protected]. You can also edit most of your profile information directly from your Dashboard, or delete your account from Account Settings.

8. Data Retention

We retain your account and career profile data for as long as your account is active. If you delete your account, we delete your personal data within a reasonable period following your request, except where retention is required for legal, tax, or fraud-prevention purposes.

9. Children’s Privacy

JobIntaker is not directed at individuals under the age of 18. We do not knowingly collect personal information from children.

10. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by posting the new policy on this page and updating the “Last updated” date above.
